Volunteer Minute Secretary

Scotland’s Gardens Scheme SCIO is a charitable organisation which supports the opening of gardens throughout Scotland, raising funds for charity through garden gate tickets, plant sales and teas.

The role of the Volunteer Minute Secretary is to support the Chairman and the Chief Executive in ensuring the smooth functioning of the Scotland’s Gardens Scheme Board of Trustees. This role is not a Trustee and has no voting rights.

Administration of Meetings:


To prepare agendas in consultation with the Chairman and CE
To circulate agendas and any supporting materials, including those identified and shared by the Board Secretary
Ensure Committee Members circulate reports prior to meetings
To minute meetings and circulate the draft minutes to all committee members after agreement with Chair
At close of each meeting agree date, venue and time of next meeting


AGM:
Prepare Agenda for AGM
Request written reports to be submitted prior to the meeting
Ensure copies of Agenda and Reports are available at AGM
To minute the AGM
Deal with correspondence as required


Experience required

Qualities/Skills Organisational ability:

Experience of committee work and procedures.
Minute-taking experience
Good communication and interpersonal skills.
Impartiality, fairness and the ability to respect confidences.
Well organised and an eye for detail.
Good time-keeping and willingness to adhere to confidentiality.

Travel expenses

Reasonable travel expenses may be claimed for travel to meetings/events. This is a voluntary and thus unpaid role.

Frequency & commitment
4 Trustee Meetings per year, held in Edinburgh or via Zoom, each lasting approximately 2.5 hours. Anticipated timespend minimum of 3 hrs per week in the 3 weeks prior and post meetings.

Volunteers (aged 18-25) taking part in this opportunity are eligible to claim Saltire Awards hours for their activity.
