Treasurer

The Federation of Writers (Scotland) is an organisation devoted to supporting writers across Scotland. Our mission statement is 'to provide opportunities for writers at all stages of their careers and development to associate, learn and develop together, through performance, development activities, events, publications and the general celebration of Scottish writing across genres and three of Scotland's languages, English, Gaelic and Scots.' We are specially keen to promote Scots and Gaelic and our annual competition has separate categories for entries in these languages, one of the few writing competitions to do so. We are an organisation led by writers for all writers.
A founding principle of our organisation is that there should be no formal subscription to join and the organisation relies on the generosity of those who can afford to donate, and income raised via competitions and publications. We became a registered SCIO in 2019. Our current membership stands at 1800 + members.
The Treasurer handles the day to day running of the Federation finances. The Fed does not charge a joining fee but accepts ad hoc donations from members which are acknowledged and recorded. Other tasks involved as Treasurer include:
*Management of Paypal and Bank of Scotland Charity Business Accounts. The Constitution states withdrawals and/or payments from the bank account are counter-signed by any 2 of 3 signatories.
*Producing a report for monthly Board meetings. This includes the current balance of each account and shows total funds at a specific date and any recent transactions.
*At each month end the treasurer downloads statements from both accounts and are held in an electronic file for each financial year (1 June to 31 May).
*Preparing accounts and presenting at the AGM. They are submitted to an Independent Financial Examiner for authorisation before lodging with OSCR (Scottish Charities Regulator). The Treasurer is the OSCR contact and records and updates Trustees’ personal details on their website.
*To keep correct records of entrance fees received by the Federation via Paypal and the Bank Account.
*Paying prize winners and judges fees by Paypal or bank transfer as requested by recipient.
*Quarterly Flash Competitions are also held throughout the year and records kept. Donations or income from sales of anthologies at events are collected and banked by the Treasurer.
*Working closely with the Chair keeping them informed and agreeing with the Board payments for Insurance, Web Site Providers and other expenses or purchases.

Experience required

A working knowledge of excel and receipts and payments accounts would be useful but the current treasurer will give a comprehensive hand-over and be available for advice. Good communication and presentation skills will be helpful.

Travel details

Board meetings (usually monthly) are held online due to the geographic spread of our Board.

Travel expenses

The role requires limited travel, any reimbursement of expenses would be by prior agreement.

Support
Training details

The current incumbent and members of the board will provide one to one support over a handover period. There are also a suite of documents covering key aspects of the role.

Minimum age: 18

Frequency & commitment
2-4 hrs per week, dependant on programme of activities. Board including Treasurer are elected and re-elected annually by members at an AGM. This year’s meeting is set for 20/06/2026.

Volunteers (aged 18-25) taking part in this opportunity are eligible to claim Saltire Awards hours for their activity.
