Lil Loop Data Volunteer - Pilot Directory Team

Role Purpose
To support the launch of the Lil Loop app by helping to collect, check and enter local repair, reuse, sharing and recycling information into a bulk‑upload spreadsheet, and to carry out a first test of how this data appears and works in the system.
This first cohort will get the data and system into good shape before it is introduced to community ambassadors and a wider group of residents.
What you’ll be doing
Volunteers will work in a small team with guidance from Lil Loop to:
• Gather information about local services
o Use a simple template to collect details of:
o local repair cafés and fixers
o reuse projects, charity shops and second‑hand outlets
o sharing schemes, lending libraries and swap groups
o relevant council services and community initiatives
o Look up information online and, where needed, phone or email organisations to confirm details (opening times, locations, contact info, what they accept, accessibility details).
Enter and tidy data in the bulk‑upload spreadsheet
• Enter information into a clearly structured spreadsheet ready for upload to the Lil Loop app.
• Follow agreed data standards (e.g. address format, categories, tags).
• Check for duplicates, missing fields and obvious errors.
• Flag any questions or uncertainties for the Lil Loop team.
Quality check the data
• Help review the spreadsheet for consistency and completeness.
• Apply simple checks (e.g. postcode present, phone or website included where available, categories sensible).
Test the app using the uploaded data
• After the bulk upload, log into the test version of Lil Loop and:
o search for items and services;
o check that services appear correctly;
o note anything missing, confusing or incorrect.
o Provide structured feedback on any issues and suggested improvements.
Contribute to improving the process
• Share ideas on how to make the data‑entry and checking process easier for future volunteers and community ambassadors.
• Help refine any guidance documents or checklists.
Skills and experience
You do not need to be a tech expert. The role would suit people who:
• are comfortable using a computer, web browser and basic spreadsheets (e.g. Excel or Google Sheets);
• enjoy organising information, spotting patterns or checking details;
• can follow a clear process and are willing to ask questions if something is unclear;
• care about repair, reuse, sharing and reducing waste in their community;
• are happy working independently at times, as well as checking in with a small team.
Any of the following are a bonus but not required:
• experience with data entry, administration or research;
• familiarity with East Lothian and local community organisations;
• experience using other community directories or online platforms.
Support, training and supervision
Volunteers will receive:
• a short induction to Lil Loop, the project and the purpose of the directory;
• clear written guidance on what information to collect and how to enter it;
• a walkthrough of the spreadsheet (fields, examples, common pitfalls);
• access to a named contact person from Lil Loop for questions and support;
• optional short online sessions to review progress, share tips and solve issues together.
Time commitment and location
Timing: Between May to July (approx. [about 6 - 8 weeks] .
Time: Around 2 - 8 hours per week, flexible to suit your schedule.
Location: Mostly home‑based / remote (you will need internet access), with optional in‑person or online group check‑ins in East Lothian.
We understand people have other commitments, so hours can be arranged flexibly.
What volunteers gain

• Experience in data entry, data quality and basic digital systems testing, which can be useful for admin or digital roles.
• Insight into how community apps and directories are built behind the scenes.
• The satisfaction of helping local residents find real‑world options to repair, reuse, share and waste less.
• A volunteering reference or confirmation letter on request after completing the initial project period.
Practical requirements
• Access to a computer or laptop and a reliable internet connection.
• Ability to use a spreadsheet (we can provide a simple refresher if needed).
• Commitment to handle information carefully and respectfully; training will be provided on data handling and privacy.

Travel expenses

Expenses will be paid for use of own computer equipment and energy at home. Travel expenses are covered as required (limited to no travel involved and only by mutual agreement)
